Scheduling conference rooms for meetings is a critical business activity that is made simple using Outlook.
At a glance process
There are multiple ways to put items on the calendar from the interface. The following assume you know how to create a Meeting that includes others.
- Click the Meeting button from the Calendar ribbon to open the Meeting window.
- Add the attendees on the TO line.
- Add the subject of the meeting on the Subject line.
- Search for the room by typing the word room or the three letter location code (dal, tuk, coq, etc.) on the Location line. You may not see the popup with selections to choose from. If that's the case, click the open book to the right of the Location line to open the company directory and search again. Note that the location will be added to the TO line.
- Set your preferred date and time settings.
- Add your agenda or other information pertinent to the meeting in the space below. See Setting Up A Meeting Best Practices for common tips and tricks to setting up an effective meeting.
- Click the Scheduling button to see all attendee and room availability.
